08. Electronic Communications & Use Policy

J. Kent provides and maintains internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software. As part of your assignment, you may be required to use internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software through J. Kent or as provided by a Client. As a condition of providing access to internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software, J. Kent restricts its use to company business purposes only. The use of internal and external electronic mail (e-mail), texting, telephone voice mail, internet access, and computer hardware and software as provided by a Client is also restricted to company business purposes only.

J. Kent complies with all applicable federal, state and local laws in regards to the use of email, telephone voice mail, internet access, and computer hardware and software.

All information sent using J. Kent’s email or telephone system, or via internet access provided by J. Kent, remains the property of J. Kent. All messages and files created, sent, received or stored within the system should be related to company business, and are the property of J. Kent. J. Kent reserves the right to retrieve and review any message or file composed, sent or received. Even if a file is deleted or erased, it may be possible to recreate it. J. Kent makes no assurance of privacy when an employee is using internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software.

Employees must not use internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software for personal use, and must refrain from using external hard drives, storage devices, or any external components, including compact discs unless expressly authorized to do so. These devices present a security risk and are a violation of J. Kent’s Electronic Communications and Use Policy. If you use an external device on the computer hardware of J. Kent or of a Client without consent to do so, you will be disciplined up to and including termination.

Employees are expressly prohibited from using internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software in any way that could be considered offensive, harassing or disruptive to another individual. Offensive content, including sexual comments or images, racial or ethnic slurs, gender-related comments or any comments that might be construed as offensive by a reasonable person on the basis of race, color, gender, age, sex, sexual orientation, religious belief, national origin, or disability, is expressly prohibited. If you send such content using J. Kent’s internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software, or on systems or devices provided by a Client, you will be disciplined up to and including termination.

Employees are also prohibited from using internal and external electronic mail (email), texting, telephone voice mail, internet access, and computer hardware and software to send or print copyrighted materials, including articles and software, in violation of copyright law, and to send or print proprietary data, trade secrets or confidential information of J. Kent or a Client. You are advised to review J. Kent’s Confidentiality Policy in relation to your use of J. Kent or Client provided internal and external electronic mail (email), texting, telephone voice mail or internet access. If you violate copyright law or J. Kent’s Confidentiality Policy, you may be disciplined up to and including termination.
