How do I complete my Online Timesheet?
  • You are required to complete and submit an Online Timesheet every week, as soon as possible following completion of your last day of the workweek, but no later than 11:59 PM on Sunday.
  • To complete your Online Timesheet, you will need to LOG IN to your Employee Portal. If you forget your Login (username or password), contact your J. Kent Staffing Manager, or call us at 303-777-7734.

  • There are some assignments where you will not need to do an Online Timesheet, such as an event where a printed Group Timesheet is on-site for check-in and check-out which will serve as your Timesheet. Your J. Kent Staffing Manager who hires you for the assignment will inform you if an Online Timesheet is not required.
What are your payday and paycheck policies?
  • Payday is every Thursday for the previous work week (Monday – Sunday).
  • J. Kent offers 2 paperless options for payment of wages: 1) direct deposit, or 2) pay card.
  • Pay Advices are available the day before Payday in your Employee Portal. If you forget your Login (username or password), contact your J. Kent Staffing Manager, or call us at 303-777-7734.
  • If you have any questions about your paycheck, please contact your J. Kent Staffing Manager.
What if I change bank accounts, or want to change my W-4 allowances?
  • If you are changing bank accounts, or want to change your W-4, please contact your J. Kent Staffing Manager.
  • We will email you a new Direct Deposit Form or W-4 to complete through our onboarding vendor, Sterling Talent Solutions.
  • Important – if you are changing bank accounts, you will need to provide a Direct Deposit Backup document from your bank in addition to completing the Direct Deposit Form.
  • To change your W-4 or Direct Deposit information for that week’s paycheck, the forms must be completed and sent to us no later than 11:59 PM on Sunday.
What if I have a change of address?
  • You can change your address in your Employee Portal by editing the Profile. If you forget your Login (username or password), contact your J. Kent Staffing Manager, or call us at 303-777-7734.
  • Important – you can only change your address to a state other than Colorado AFTER you have been issued all of your paychecks (otherwise improper state taxes will be withheld from your future paychecks).
How do I get my W-2?
  • Your W-2 will be available to you by the end of January for the previous year, as required by law.
  • You will receive an email from J. Kent Staffing’s Accounting Department when your W-2 is accessible in January with instructions on how to retrieve an electronic copy of your W-2.
  • If you do not download your W-2 electronically, a printed W-2 will be mailed to you no later than January 31st.
What do I need to know when I start a new assignment?

When you accept a new assignment from J. Kent Staffing, the Staffing Manager who hired you will provide you with the following information:

  • The assignment pay rate, work schedule, and length (or estimated length) of assignment
  • Company name, address, and a description of what the company does
  • Description of your assigned job duties and responsibilities
  • Other details such as parking instructions, dress code, security requirements, etc.
  • Name and title of the company representative:
    • to ask for when you arrive
    • who will be your on-site, Client Supervisor
    • who is authorized to approve your Online Timesheet

You are required to notify your J. Kent Staffing Manager of your arrival at your assignment on the first day via call/text/email, either as you are walking in, or within the first 15 minutes after your arrival. We need to know that you found the office location and arrived safely and on-time.

How do I request time off during my assignment (for appointments, vacations, etc.)?
  • Please direct any requests for time off during your assignment to your J. Kent Staffing Manager; not to your Client Supervisor.
  • J. Kent Staffing will then coordinate this request with our Client and will let you know if your request is approved, or unapproved.
  • Please submit any request for time off with as much advance notice as possible.
  • Important – if you are aware of your time off request in advance, please communicate this to your J. Kent Staffing Manager before accepting the assignment so that advance approval can be attained.
  • We cannot guarantee that all time-off requests will be approved, but we will certainly work with both parties (you and our Client) to accommodate reasonable requests.
What if I will be late or unable to go to work (i.e. sick)?
  • You are required to notify your J. Kent Staffing Manager as soon as possible after you know you will be late or unable to go to work.
  • Acceptable methods of notification are phone call/voice mail, text, or email. You are required to state the reason for the lateness or absence and your expected arrival time or return date to the assignment in your message, text, or email.
  • Unless instructed otherwise by your J. Kent Staffing Manager, DO NOT contact your Client Supervisor. We will notify the J. Kent Client of your expected reporting time and reason for the lateness or absence.
  • You are required to notify your J. Kent Staffing Manager after your late arrival or return to work following an absence via call/text/email.
What if I am injured on the job?
  • If you are seriously injured on the job, call 911 and seek immediate medical attention. You (or your emergency contact) will need to report the incident to your J. Kent Staffing Manager as soon as possible, given the circumstances.
  • If you do not need to seek immediate medical attention, you are required to report your injury to your J. Kent Staffing Manager who will ask you for details about the incident.
  • If you wish to seek medical attention, you MUST go to one of J. Kent’s approved workers’ compensation medical providers.
  • Your Staffing Manager will provide you a list of approved providers to contact to schedule an appointment. If you go to a different medical provider, the costs may not be covered under J. Kent’s workers’ compensation insurance.
What if I am asked to perform a job duty or task that is outside of the scope of what I was told?
  • You must contact your J. Kent Staffing Manager if you are asked by our Client to perform a job duty outside of the scope of what you were given, or that you are not comfortable doing, particularly if it is physical – before performing the task(s).
  • If the task(s) are requiring significantly more skills than what was expected, we may need to re-evaluate and adjust the assignment pay and bill rates with our Client. But, we can only do that if you inform us of the new tasks you are being asked to perform!
  • You may be instructed by your J. Kent Staffing Manager NOT to perform the task(s). If this is the case, your J. Kent Staffing Manager will communicate this with our Client; you are not responsible for doing so.
If I get to work early, am I allowed to clock in early? Am I allowed to stay late? Am I allowed to work overtime?

Clocking in early/staying late: 

  • Unless informed otherwise by your J. Kent Staffing Manager, you should not clock in and start working before your scheduled start time. Your pay starts at your scheduled start time, and that is the time you should report on your timesheet. If you arrive early, do not start working until your scheduled start time.
  • Correspondingly, you are not allowed to stay later than your scheduled end time, unless approved.
  • On some assignments, our Client is flexible with start and end times, as long as you don’t go into an unauthorized overtime situation. Your J. Kent Staffing Manager will let you know if there is flexibility in your start or end time.

Overtime:

  • Unless authorized and requested by our Client, you are not approved to work overtime on your assignment (over 12 hours in a workday, or 40 hours in a workweek).
  • Please let your J. Kent Staffing Manager know if you are asked to work overtime by our Client. We will then confirm this request and authorize you to work the requested overtime if you can do so.
What breaks am I entitled to during the workday? Are they paid or unpaid? Am I allowed to work through my breaks?

Meal Breaks:

  • For shifts over 5 hours in length, Colorado state law requires you to be given an uninterrupted and “duty-free” Meal Break of at least 30 minutes. This Meal Break is unpaid and you note the length of this break in the Break column on Timesheet.
  • You are not authorized to work through your Meal Break unless prior approval is received by your J. Kent Staffing Manager.
  • There are some instances, requiring both J. Kent and our Client’s pre-approval, where you will be allowed (or asked) to work through your Meal Break. Should you choose to do so, you would not deduct a Meal Break from your timesheet. In these cases, you must be allowed to eat while you work (while “on-the-clock”).

Rest Breaks:

  • You are entitled to a 10-minute, paid Rest Break during every 4 hours of work, or major fractions thereof.
  • If you choose to, you are entitled to work through a Rest Break.

Important: If you have any questions about your breaks, please ask your J. Kent Staffing Manager for clarification – before the break.

What if I feel harassed or discriminated against while on my assignment?
  • J. Kent Staffing is committed to providing a safe and positive work environment for all of its employees.
  • If you feel harassed or discriminated against at any time while on assignment, you should report the incident immediately to your J. Kent Staffing Manager.
  • You will be asked to provide written, detailed documentation to J. Kent Staffing, in addition to any verbal conversation that you have with your Staffing Manager.
  • J. Kent Staffing will promptly investigate and work diligently towards immediately correcting any work situation involving harassment or discrimination.
What if I need to quit prior to my assignment end date? What notice do you require?

If you are unable to fulfill your commitment to the full length of the assignment which you accepted, J. Kent Staffing requires the following notice:

  • 2 days – for assignments less than 2 weeks in length
  • 1 week – for assignments 2 weeks to 2 months in length
  • 2 weeks – for assignments over 2 months in length

Your Staffing Manager will let you know if we can accommodate a notice that is less than noted above (i.e. if we can find a replacement for you that supports a shorter notice). Most importantly, we ask for immediate and good communication between you and your J. Kent Staffing Manager in the event you cannot complete your assignment commitment so that we can ensure our J. Kent Client has the staff that they need.

If the above Notice Requirements are not given, you may be ineligible for rehire with J. Kent Staffing.

What happens when my assignment ends? Can you find me another assignment?
  • You are responsible for communicating with your J. Kent Staffing Manager, no later than 4 hours before the close of business on the last day of your assignment, to inform them of 1) when your assignment is ending, and 2) your availability to accept future work assignments.
  • It is also your responsibility of notifying your J. Kent Staffing Manager, on an ongoing basis thereafter, of your availability to accept future assignments.
  • Your failure to do the above will be considered a Voluntary Quit.
  • Whenever possible and, given good job performance and availability of relevant job opportunities, J. Kent Staffing will try to offer you other work assignments following completion of an assignment. We cannot, however, guarantee you continuous employment.
